REGISTRATION OF
STUDENT ORGANIZATIONS
In order to function at King's College, all student organizations must
be registered with the student activities office. This allows a group
to have a college advisor, use college facilities, meeting rooms, student
activities mailboxes, college business office accounts, publicize events,
receive funding from student government, participate in the Activities
and Christmas fairs, and be included in all mailings to student organizations.
In order to activate a club/organization that has been inactive for a
period of time, the following procedures also need to be followed.
Procedures:
1. Student(s) who want to start a new organization on campus should meet
with the director of student activities to explain the purpose of the
new campus group. The director will explain the procedures necessary to
be registered by the college.
2. There should be a sufficient number of students who want to join the
newly formed organization in order to plan events and programs effectively
(usually 20 members as a minimum).
3. After meeting with the student activities director, the students who
are organizing the new group need to draft a constitution that will be
approved later by the members of the newly formed organization. The constitution
should include the organization's name, statement of purpose, criteria
for membership, and the organization's procedures. This constitution contains
the procedures and guidelines for the organization to function effectively.
4. The newly formed or activated organization is required to have a college
advisor selected from the faculty, staff, or administration of the college.
The director of student activities will explain the way in which the recommendations
for an advisor are to be made. The appointment of advisors is made by
the associate vice president for student affairs in consultation with
the director of student activities.
5. All student clubs/organizations are required to deposit their funds
in the college business office.
6. The newly formed or reactivated organization must adhere to all policies,
regulations, guidelines, and procedures of King's College.
7. An annual renewal of registration of all clubs/organizations takes
place during March of each academic year. Information concerning the re-registration
process is sent to the club/organization advisor. Clubs/organizations
that do not renew their registration according to the procedures determined
by the student activities office are considered inactive for the following
academic year, and are not able to participate in the fall Activities
Fair. The election of new officers is required to be completed by the
end of March.
