THE COLLEGE ADVISOR
Student activities are planned and implemented through collaborative efforts by student leaders, faculty/administrator college advisors of classes and clubs/organizations, and the staff of the student activities office. The advisor plays a significant role in student development by being a consultant, associate, and an interpreter of college tradition. The advisor consults frequently with the staff members of the student activities office who act as resource persons and a clearinghouse for activities and programs. In order to promote cooperation among student groups, the student activities office staff coordinate the scheduling of all on-campus events planned by classes and clubs/organizations. The college advisor's role is to make certain the student leaders are aware of and understand the college's policies, procedures and guidelines pertaining to classes and clubs/organizations.

Specific Responsibilities
1. To attend an organizational meeting in early September of each academic year, conducted by the student activities office staff.
2. To carefully review the club/organization's constitution with the student organizational leaders in the beginning of the academic year to make certain everyone is fully informed of the operating rules for the organization. The constitution should always be up-to-date.
3. To assist on a regular basis student leaders in planning and implementing programs and activities for the academic year.
4. To communicate on a regular basis with the director of student activities, who has the overall responsibility for the college advisor program. Class advisors work closely with the director of student life programming in planning class social events.
5. To remind student leaders of their responsibility to inform the coordinator of student activities of dates and major details of any class and club/organization events for inclusion in the calendar maintained in the student activities office, which acts as a clearinghouse for all student activities.
6. To review with the student leaders the procedures for reserving campus facilities included in the Student Leader Notebook.
7. To negotiate and review contractual agreements (verbal and written) with ALL outside vendors, agents, performers, bus companies, hotels, etc. and obtain the signature of the vice president for financial affairs on all written contracts. (Refer to the college policy concerning contractual agreements).
8. To insure that the students operate within the budget and financial resources of that class or club/organization. Each month the business office sends the advisor and each class, club/organization treasurer a budget status report. Guidelines issued by the treasurer of student government are to be followed concerning the withdrawal of money from student organization accounts in the college business office, as well as the procedure to be followed to apply for use of student government funds. Student government conducts through the accounting association, December and April audits of each class and club/organization.
9. To make certain items ordered in advance from a vendor/company outside the college, and billed after receiving the order, are requested by means of a purchase order. Purchasing requisitions are available at the student activities office. The completed form needs to be signed by the advisor and the treasurer before sending it to the purchasing office. If the sponsoring organization is funded through the college, the associate vice president for student affairs must approve the purchasing requisition form.
10. To make certain that clubs/organizations annually renew their registration with the student activities office by March 31st of each academic year. The information concerning the procedure to be followed for this re-registration process will be sent to the college advisor in late February and the advisor will then give it to the president of that club/organization to supply the necessary information.
